Subject: Upcoming Changes to Alumni and Retiree Email and Google Accounts
Date: Oct 02, 2025
As part of continued efforts to enhance effectiveness of IT operations and strengthen email security, University Information Technology Services will migrate alumni email accounts created since 2009 and all retiree email accounts from Gmail in Google to Outlook in Microsoft 365 on Nov. 4, 2025. In addition, we will discontinue their university-managed Google account, including access to applications such as Photos, Drive, Docs and Sheets, on Nov. 25, 2025.

Current employees who are alumni of the university will not experience changes to their account or access to any resources or software.

UITS has begun notifying affected alumni and retirees about these upcoming changes and the actions they may need to take as part of this transition. Our 24/7 Support Center will be staffed and prepared to assist alumni and retirees who reach out for assistance.

Below are additional details about the changes.

  • Beginning Nov. 4, alumni and retirees will access their university email at outlook.arizona.edu using their university email address and password. Gmail messages and calendar events will be transferred to Outlook, and their university Gmail accounts will no longer send or receive email after this date.
  • Before Nov. 25, alumni and retirees are asked to log in to their university Google account and go to Google Apps (Docs, Drive, Photos, etc.) to save or migrate any documents, photos, or data they wish to retain. Guidance and resources for transferring files are available in our Gmail Storage and Move Files knowledge article.
  • After the Nov. 25 deadline, any remaining content in alumni and retiree university Google accounts will be deleted and unrecoverable.
