New Work Location and Flexible Schedule Module in UAccess
The university has introduced a new Work Location and Flexible Schedule module in UAccess Employee that allows employees to add and review their work locations and flexible schedules. The module replaces the previous process for documenting work locations in UAccess and provides a new way to document flexible schedule arrangements.
The new UAccess module is available to all staff, faculty, appointed professionals, graduate assistants/associates and student workers. Staff members are required to complete the module by Sept. 15, 2026.
About the new UAccess module
The Work Location and Flexible Schedule module is a UAccess form that guides employees through adding their work locations (university location or remote), the percentage of a typical week when they work at each location, and the types of flexible schedule agreements they may have.
Key facts about the module:
- Employees may review and update their information in the module at any time.
- Employees can enter multiple work locations, such as an office and a lab, within the same module submission.
- If employees have a flexible schedule that varies significantly week to week or does not match the flexible options provided in the module, they can add notes to explain the nature of the agreement.
- Information added to the module by staff, faculty and appointed professionals will route to their supervisor for review and approval.
- Information added to the module by graduate assistants/associates and student workers will automatically be recorded in UAccess upon submission.
Data collected through the module helps support operational needs related to space allocation, safety, facilities management, tax and regulatory compliance and flexible work.
About the staff completion requirement
In alignment with the new Space Management and Flexible Work Policy, which took effect July 15, 2026, all staff members are required to use the UAccess module to add or confirm their work locations and any flexible schedules:
- When they change their work location or flexible schedule
- Annually
For 2026, staff members must add their information to the new UAccess module by Tuesday, Sept. 15. They must do so:
- Whether they work at a university location or remotely
- Even if their work location, schedule, or flexible work arrangements have not changed
Staff members will receive email reminders from UAccess to complete the annual requirement.
